Whether you're planning a corporate conference, a wedding reception, or a birthday bash, the venue you choose can make or break the event. Too many renters skip past the fine print only to be blindsided by hidden fees, noise restrictions, or a space that doesn't fit their needs. Here are the ten essential questions to ask before you commit.

1. What Is Included in the Rental Price?

Venues often advertise a base rate that doesn't include tables, chairs, linens, AV equipment, or setup/teardown time. Always ask for an itemized list of what's included versus what costs extra. This alone can save you hundreds of dollars.

2. What Are the Noise and Curfew Restrictions?

Many venues — especially those near residential areas — have strict noise ordinances. Ask what time music must stop, whether outdoor amplification is allowed, and whether there are complaints procedures in place.

3. What Is the Cancellation and Refund Policy?

Life happens. Before you book, understand the cancellation terms. How much notice do you need to give for a full or partial refund? Are there force majeure provisions?

4. Is There a Minimum or Maximum Headcount?

Fire codes and insurance policies often dictate maximum occupancy. Some venues also require a minimum number of guests. Make sure the space fits your actual guest list.

5. What Are the Catering and Alcohol Policies?

Some venues are catering-exclusive. Others allow outside catering but charge a corkage fee. If you're bringing your own alcohol, ask about liquor liability requirements.

6. What Happens If Something Goes Wrong?

8. What Technology and AV Equipment Is Provided?

If you need a projector, microphone, Wi-Fi, or a PA system, confirm what's available and whether there's a tech person on-site.

9. What Is the Setup and Breakdown Window?

Ask how much time you get for setup and cleanup, and whether those hours are included in the rental price.

10. Can I Visit the Space Before Booking?

Never book a venue you haven't seen in person. Schedule a walkthrough and bring a tape measure if layout matters.
