The Right Room Changes Everything

We've all been in that meeting — cramped around a table designed for six people with twelve chairs shoved in, a projector that doesn't connect to half the laptops in the room. Bad meeting rooms reduce focus, stifle creativity, and signal that you haven't thought through the details.

Start With Your Headcount

The room should comfortably fit 25–30% more people than you're expecting. A room that seats 20 people works perfectly for 14–16.

Prioritize Technology

At minimum you want: a large display or projector, reliable Wi-Fi, a whiteboard or writable surface, and power outlets accessible to all seats.

Think About Location

Choose a space that's accessible by public transit, has nearby parking, and ideally has a café or lunch spot within walking distance.

Consider the Ambiance

A brainstorming session benefits from natural light and casual seating. A high-stakes client presentation calls for polished, professional surroundings.

Check the Acoustics

Sound quality in a meeting room is underrated. Hard floors, bare walls, and glass partitions create echo and distracting noise bleed from adjacent spaces.

Book With Buffer Time

Always book 30 minutes before your meeting starts for setup and at least 30 minutes after for cleanup and discussion runoff.
